Arc of Appalachia Preserve System
General Information

Guarantee and Cancellation Policy: A credit card to guarantee your stay is requested at the time of reservation, either  Visa or MasterCard. However, checks are preferred as the mod of payment, and your card will not be run unless there is a last-minute cancellation. Cancellations occurring within a week prior to your stay for suite & cabin rentals, and two weeks for group rentals will incur a one-night cancellation charge minus the housekeeping fee, which will be treated as a tax-deductible gift to the Sanctuary. Gift certificates will incur the same cancellation charges as a normal reservation, which will be subtracted from the certificate balance. All other cancellations are without penalty.

Modern Conveniences: The Arc of Appalachia's overnight facilities at the Highlands Nature Sanctuary are modern, all offering heat and  air conditioning. Nights are much cooler here than in the city, and often an overhead fan is all that is needed except in the hottest days of midsummer, allowing the windows to let in the fresh air and night sounds. Linens and towels are provided.

Hiking Permits.
All visitors to the Sanctuary must have a wilderness permit in their car windshield to access the wilderness trailheads and hiking paths. Lodging guests are automatically registered and will receive a wilderness permit and an orientation to the trail options soon after checking in. Click here for more information on hiking.

Day guests. If you wish to have visitors, please be sure to register them when you make your reservation, or through the wilderness permit process

Ecological Principles: In the interest of conserving water and detergents, we encourage conscientious use of provided towels and linens. Visitors' rooms are for their own private use and housekeepers will not be entering during your stay.  We encourage guests to re-cycle packaging and compost food scraps, for which containers are provided.

If you have any questions at all before arriving call  the staff member who is overseeing your facility. The phone number to Ravenwood's contact, Larry Henry is 937-402-7309, the phone number for Beechcliff's contact, Tim Pohlar, is 937-402-8317 or H (9.7-365-0556),  and Hermitage's contact is Nancy Stranahan at  937-365-0101. These numbers can also be left as emergency numbers for the respective lodges.

Floor-Friendly Space. Guests are encouraged to align with tradition of removing shoes at the door.

Smoke-free Environment. In keeping with a retreat setting, smoking is prohibited in or near the facilities and on the hiking trails..

Sorry, no fishing, hunting, or firewood collection. Please see Wilderness Permits for complete rules and regulations.

Check-in and Check-out Times. Unless special arrangement are made, normal check-in time for overnight guests is 4:00 pm., and checkout time is no later than 1:00 p.m. on the day of departure. Overnight visitors may continue to enjoy the hiking trails until dusk. If you wish to arrive earlier than the check-in time to hike, be sure to coordinate with your staff contact to first obtain a hiking permit.

What about meals?  Access to kitchens or kitchenettes are available in all of our overnight lodges. Check our Visitor Guide  for local food sources and restaurants.

What to bring.
Hiking shoes are not necessary, but are encouraged. Consider brining your favorite hiking stick and binoculars if you are a naturalist-at-heart. We also encourage you to bring an outdoor blanket as we offer special scenic spots to have an informal lunch or nap.  Also, be sure to bring a flashlight as you may be walking between locations in the dark.  Insects in the Sanctuary vary with the rainfall—usually they are not a problem. Mosquitoes usually come out only at dusk, but only in small numbers. If you have sensitive skin or are easily distracted by insects, consider bringing some natural insect repellant in case you have a need for it.

And don't forget your bike. The Arc of Appalachia has fantastic quiet country roads for scenic bicycling. At the Highlands it is a pleasant bike ride to the swimming beach at Paint Creek State Park, and the Mennonite Produce Stores and Bakeries. At the Highlands, it is an eight mile ride between Ravenwood and Cave Road, passing through horse-drawn Mennonite country.

What not to bring. The Sanctuary is a sanctuary for people, too -- a place for people to commune with nature in silence, alertness and simplicity. Help us to leave the demanding and hectic pace of our technological culture behind by not using tape players, radios, video games, computers, and cell phones (except for emergencies or travel guidance).  Please do not bring alcohol.

The Song of Silence. Although music is possibly our culture's highest art form, it is something that can be heard at any place on any day and tends to take us up and out of our physical space. We ask for the sake of other guests that music be limited to earphones. The healing sounds of the Sanctuary invite you to come into your body. They are unique  and transient.  In the summer, flute-like wood thrushes will serenade you to sleep, and you will be awakened by the cheerful call of phoebes and Carolina wrens. In all seasons, one can hear the perennial murmur of the creek or stream outside one's window at most of our lodges.  

Sorry, no pets.
To keep the wildlife safe and undisturbed, pets are prohibited. 

Valuables. We encourage you to keep all valuables either locked in your room or automobile. While we have not had any trouble in the past with theft, it is still wise to be cautious.

Please make reservations by phone and have a credit card handy. Also, a phone call allows an opportunity to have an interactive conversation with someone intimately familiar with the Sanctuary. If we are temporarily elsewhere in the preserve, please leave a message. We check our messages frequently and return calls promptly. Visa and MasterCard are accepted and useful for holding a reservation, but checks provided at check-in are greatly appreciated to eliminate the credit card fees. For groups, we request that you designate one person to collect the money and then pay Sanctuary with one check or one credit card.
